The company is a hotel entity in the hospitality industry. They are a 5-star Hotel located in Singapore housing a total of 600 rooms and 26 stories high.
Project Overview
Implementing a LIVE Bluetooth Tracking System within the hotel, by either leveraging off the client’s existing Wi-Fi AP infrastructure (provided they come with a Bluetooth IoT function) or putting up our own Bluetooth receivers in the hotel to facilitate the LIVE Tracking of assets within the hotel. The hotel client will also determine how many assets they would like to LIVE Track, and we will provide the equivalent number of Bluetooth Asset Tracking Tags during deployment.
Objective
The objective is clear: to provide LIVE locations of all assets of the hotel. Full accountability, visibility and eliminating the need to manually search for assets is our top priority. Every department of the hotel can benefit including:
- Room Service – Tray/Trolleys
- Housekeeping – Extra Beds/Baby Cots/Humidifiers etc
- Luggage
- Lost and found items
- IT Equipment
- CAPEX Assets
- Any other assets that require LIVE Tracking can be included
Background
The hotel staff count is dwindling as it is challenging hiring locals and with foreigner quota in place, hiring is often an uphill task. As it is, staff from various departments are already working long hours and sometimes have to commit to overtime hours. During everyday operations, it is common for staff to look for equipment or assets to fulfil guest requests or to discharge their duties.
For example, when an extra bed is requested from a particular guest, the housekeeper will have to look for the said asset within the hotel. It is time consuming and sometimes frustrating when hotel assets are not located on the same floor as the person searching for it – this is inevitable.
Another example would be room service department, where staff have to constantly monitor the room service tray/trolleys especially when guests place them innocently outside their rooms. A 5* hotel cannot afford having uncollected room service tray/trolleys for hours on end. Unfortunately, this level of standard requires the staff to do “rounding” where they comb floor by floor to retrieve the tray/trolleys. This again, is an extremely time consuming but necessary task, one that they would be happy to eliminate if technology could solve.

The challenge is to implement technology to save hotel staff invaluable time to complete their daily tasks, instead of wasting countless hours manually searching for hotel assets on-the-go.
With the client in mind, the DROP Bluetooth LIVE Hotel Asset Tracking System would allow staff to seamlessly search for assets on an ad-hoc basis from their mobile devices, computers and laptops. In addition, enabling a web-based dashboard makes it extremely accessible for staff to login wherever they are in a secure, efficient manner.
Now the future is a reality as all members of staff needs to do is a simple click/scrolling on the dashboard to see where assets are in real-time. No more manual searching or second guessing where assets are in current time.

The moment a room service tray/trolley is detected in the corridor, the system will notify room service department to clear the tray/trolley in question, saving the hotel department invaluable hours walking floor by floor otherwise. |
| Luggage Department | Front desk bellmen will no longer have to search through endless luggage paper tags to retrieve luggage belonging to guests. The moment a guest comes forward, all they have to do is produce their luggage paper tag, staff will then scan the paper tag at our kiosk, and our system will “blink and beep” the Drop Luggage Bluetooth Tag with light and sound, making it extremely easy for bellmen to locate the target luggage in question and delivery it quickly. |
| Lost and Found | A hotel will typically hold onto 3-6 months of lost items by way of protocol – this would mean 100s of items at any point in time, sometimes even exceeding a 1000 items for a fairly large hotel. Thus, when a guest comes back to retrieve their lost item, staff will spend time to locate a particular item. By having the Drop System in place, we will “blink and beep” the lost item in question, making it intuitive for the staff to locate the item quickly and ensure swift delivery. |
| Housekeeping | Housekeeping controls hotel assets such as extra beds and baby cots which are typically limited in number. Thus, any guest request would have to be fulfilled on an ad-hoc basis. At times, the said item can be difficult to find, as they may not be available at every guestfloor, thus requiring housekeepers to look for said item. By having the Drop System in place, we are able to locate the said assets in a quick fashion, fulfilling guest requests on the go. |
| IT Equipment | IT equipment ranging from laptops to servers or switches can now be tracked in real-time for accountability purposes |
| CAPEX Assets | Typically any asset above a certain price tag would need to be accounted for, not only for annual audit purposes, but for reconciliation. In the past, assets would have to be manually searched and accounted for, but with the Drop system, simply enter the asset name/category, and all their locations would be reported in real time. |
| Valuable Hotel Assets | Similar to CAPEX Assets, valuable hotel assets can have various “protection zones” to track their whereabouts and ensure they are still on-premise. For example, if a paining belonging to B1 ballroom is no longer in its location, our system is able to prompt security to perform a check, based on our geo-fencing capability. |
